Visitors are a reality of hostel life. Students have friends, family, and delivery people coming and going. The question isn't whether to allow visitors — it's how to manage them safely.
Why Paper Logbooks Fail
A paper logbook at the gate captures a name and a time — if the guard remembers to write it down. There's no verification, no photo, no phone number, and no way to know if the visitor actually left.
When something goes missing or an incident occurs, that logbook is nearly useless.
How Digital Visitor Management Works
Student-Initiated Registration
The student registers their expected visitor on the platform before they arrive. They provide the visitor's name, phone number, purpose of visit, and visit type (day visit, overnight, or extended stay).
Approval Workflow
Day visitors are registered instantly. Overnight and extended stays require admin approval. The admin sees the request, reviews it, and approves or rejects with a reason.
Check-In and Check-Out
When the visitor arrives, security confirms their identity against the registration. Check-in is logged digitally. When they leave, check-out is logged too.
Overstay Detection
If a visitor hasn't checked out by their expected departure time, the system flags it. The admin is notified. No more visitors who "forget" to leave.
ID Capture
Visitors can be required to provide ID details — NIN, driver's license, passport, or voter's card. This creates accountability.
